Start with how you work, not with features
Before naming a platform, we map your core workflows:

Reporting: board packs, project/property tracking, restricted funds

When Xero is the right fit
As a Xero advisor, we deploy Xero when clients want clarity and control with minimal friction:
Fast month-end close. Bank feeds are solid, rules are quick to maintain, and reconciliation is straightforward.
Tracking Categories. Two flexible dimensions (e.g., Program/Property and Funding/Department) give you project-level P&L without a bloated chart of accounts.
Approvals + audit trail. Built-in roles, document capture (e.g., Hubdoc), and easy review flows support clean controls even with small teams.
Ecosystem. Payroll, payments, time, and AP tools integrate cleanly; you add only what you need.
Board reporting. Custom layouts, reusable report packs, and export-friendly formats keep packets consistent.
Best for: nonprofits, affordable-housing developers, service firms, and owner-led companies that value clear tracking and recurring processes over heavy inventory or niche manufacturing.
When another tool might be better
We’re Xero-forward, but not one-size-fits-all:
Complex inventory/manufacturing: If you need native assemblies, multi-location inventory, or production scheduling without add-ons, a specialized system or QBO + a serious inventory app may be the smoother path.
Legacy industry stack: If your funder/parent company requires a specific export or you depend on a legacy vertical app that only integrates with one GL, we’ll follow that requirement and harden the process around it.
Heavy, bespoke payroll in one system: If you must have complicated payroll rules baked into the same vendor and a state-specific compliance module that only one platform supports, we’ll weigh that reality.

What a smooth migration looks like

Historical choices. Usually we bring in opening balances plus YTD detail; for deeper history, we import summarized monthly trial balances by program/property so trend lines stay intact without clutter.
Cutover kit. We set up bank feeds, approval workflows, document capture, invoice/estimate templates, and a short month-end checklist.
Parallel week. One week where new transactions run through Xero while we monitor coding and reports.
